The Client

The client is a leading Indian real-estate developer and started operations in 1993 with commercial and residential projects in India and abroad. The establishment has developed 53+ Million Sq. Ft. of commercial, residential, retail, hospitality and industrial warehouse projects and holds an extensive land bank of 1,000 acres across the country.

The Challenge

In the Real Estate Sector, companies need to create Purchase Requisitions routinely to fulfill ongoing requirements of construction material and related services. The client needed to automate their procurement process to avoid delays in responding to such requests. Employees in the procurement department had to spend significant time executing steps of the Procure-to-Pay work flow in SAP. Starting from the initial receipt of the request to verification and parking of the invoice, there were several manual interventions that made the process lengthy, tedious and difficult to coordinate. This led to deadline misses and overall loss of efficiency both from a people and process perspective.

The Solution

Automating the steps of the SAP Procure-to-Pay workflow through Robotic Process Automation has helped improve the operational levers of both quality and efficiency. The process turnaround time has gone down by 75% and accuracy of data is no longer a point of concern. The process is more optimized and better orchestrated now that a centrally operated bot is responsible for overall execution.

A purchase requisition status is just the click of a mouse away; and in-built validations at the point of data entry itself have eliminated errors and ensured robustness. It has also resulted in an easier task management; wherein repetitive tasks have been scheduled and functions get triggered based on business rules.

In addition, setting up regulated workflows have helped control spend and made employees more productive, efficient and focused towards value-based tasks.

The Benefits

  • Eliminate manual data entry by using automated procurement to drive efficiency.
  • Streamline and process requests via customized workflows.
  • Easily integrate spend data to make informed business decisions.
  • Generate real time reports and dashboards that provide more visibility across the entire process.
